Standard Pre- and Post-Texts
Purpose
Standard Pre- and Post-Texts standardize the text flow in quotes, orders, and other document types in Professional Services. They reduce manual maintenance during document creation and control which texts are automatically reused, replaced, or reset when one document type creates another.
Prerequisites
- the affected document types and their business text blocks are defined
- it is clear for which document transitions existing texts should be reused or overwritten
- standard texts are aligned with business and legal requirements
Functional focus
Standard texts per target document type
For each target document type, you can define which pre- and post-texts apply when a new document is created. This is especially relevant when, for example, a quote becomes an order or another source document creates a follow-up document.
Behavior during document transitions
Three base behaviors are available for handling existing texts: Reset, Replace, and Keep. This controls whether the text from the source document is removed, fully replaced by a standard text, or transferred unchanged into the target document.
Impact on quotes and orders
In sales processes especially, Standard Pre- and Post-Texts influence which text blocks appear automatically in new sales quotes and orders. This prepares the business and communication frame of a document consistently from the moment it is created.
Reduction of manual rework
Because the texts are maintained centrally in setup, recurring document text does not need to be reassembled in every single document. This improves consistency, saves time, and helps equip different follow-up documents with controlled standard text behavior.
Outcome
Standard Pre- and Post-Texts create a controllable text logic across the full document flow. This keeps quotes, orders, and follow-up documents consistently prepared while reducing manual text maintenance.
