Device management in progress

The Device Management module in Dynamics 365 Business Central helps companies to centrally capture, manage, and track devices of all kinds. It offers features for:

  • Inventory Overview: Record, categorize, and manage locations.

  • Handovers: Document reservations, expenses and returns of equipment.

  • Inspections: Plan, perform and log safety and maintenance inspections.

  • Calendar & Search: Overview of reservations, occupancy and availability through device calendar and flexible device search.

  • Parameters & Device Types: Define standardized characteristics (e.g. load capacity, performance) and test types for each device type.

In this way, the device management ensures transparency, efficiency and traceability throughout the entire life cycle of the equipment.


Role Center

The Role Center serves as the home page and provides a quick overview of available devices, their usage, and important activities.

In the upper area are the main menu items:

  • Devices – Overview and management of all devices.

  • Device types – Definition and maintenance of device types (e.g. laptop, smartphone, tablet) with parameters and test types.

  • Device Calendar – Calendar view for reservations, expenses, and returns.


Device Management Activities

In the Role Center, key figures are displayed in tiles. These provide a quick overview of the status of device management.

Device Management:

  • Verfügbare devices: Number of currently available devices.

  • Geräte in use: Number of devices currently issued.

  • Reservierte devices: Devices with future reservations.

Unbooked handovers:

  • Transactions that have been created but not yet posted (reservations, expenses, returns).

Booked handovers:

  • Bookings that have already been completed – with date and documentation status.

Test Protocols:

  • Documented tests (incl. result)

  • Test report evaluations for analysis

Device locations:

  • Base locations (e.g., headquarters, subsidiary)

  • Other locations (e.g. home office pool, project warehouse)


Other lists

Device user list

The global search function can be used to open the device user list. The Device User List is used to manage all the people who use, reserve, or associate devices with. Each user is displayed with their basic information and the current reservations or expenses.

The New function can be used to create a new device user with his master data.

Telefonnummer / Mobiltelefon Kontaktinformationen des Nutzers.
E-Mail E-Mail-Adresse des Nutzers für Benachrichtigungen.
Ressourcennr. Verknüpfung zur Ressource in der Ressourcenverwaltung.
Anz. akt. reservierter Geräte Anzahl der Geräte, die der Nutzer aktuell reserviert hat.
Anz. akt. ausgegebener Geräte Anzahl der Geräte, die aktuell an diesen Nutzer ausgegeben sind.
