Process Material Requests
Get started
Open the Material Requests page from search. Material requests are also available
- on the project card and
- in the project document editor under Material Requests
in the context of the current project or document.
The list includes the number, description, project, source document, purchaser, responsibility center, location, and dimension.
Create a material request
- Open Material Requests.
- Create a new request.
- Enter the project, description, purchaser, document date, and, if applicable, the source project document.
- In the Shipment section, select the ship-to destination:
- Company address
- Location
- Customer address
- Custom address
- Enter the requirement lines.
Lines
A material request can contain the following line types:
- Item
- Resource
- Calculation item
- Free or blank line
For each line, you can maintain information such as quantity, unit of measure, unit cost, supplier, supplier item number, manufacturer data, location, bin, discounts, dimensions, and delivery date.
Short and long text, document attachments, line details, and reference items are available for the selected line in subpages and FactBoxes.
The Created Document field shows the document to which a transferred line was copied. Is Transferred identifies transferred lines.
Suppliers
Select Show Material Request Suppliers to open the supplier assignments for the request. The supplier and Supplier Tag are particularly relevant when creating purchase documents and exchanging IDS data.
IDS exchange
The following actions are available under IDS:
| Action | Purpose |
|---|---|
| IDS Send | Sends the basket to the IDS web shop. |
| IDS Receive | Receives the basket from the IDS web shop. |
| Download as Basket | Exports the request as an IDS basket. |
GAEB and UGL
Material requests also support:
- GAEB/UGL Import
- Download as UGL
- Download as GAEB-2000
These actions exchange requirement and price information with external systems.
Process a request
The Process to… group transfers the request to a subsequent process:
| Action | Result |
|---|---|
| Purchase Document | Creates purchase documents from the request. |
| Shipment Order | Creates a shipment order. |
| Job Posting Document | Creates a project posting document. |
| Process to Job Document | Creates a new project document. |
On the separate Material Request Lines List page, you can select lines from multiple requests and process them together. Purchase documents are consolidated by supplier and delivery address. For shipment orders, you can also control whether short texts, long texts, unit costs, and sales prices are transferred.
A line that has already been transferred is no longer highlighted as a valid purchase line in the combined list.
Comments, dimensions, and attachments
- Comment opens the rich-text comment for the request.
- Dimensions opens the document dimensions.
- Documents shows the standard document attachments.
Archive a request
Select Archive to create a new archived version of the current material request. The No. of Archived Versions field shows how many versions exist.
The Material Request Archive List page is read-only. For each archived version, it shows the number, version number, status, delivery address, location, project, and description. From the related archive card, you can review the header, lines, and short and long texts of the saved version.
