Identification Numbers

Description, setup, master data, ordering/goods receipt, scanning functions, physical inventory, and label printing for identification numbers (serial/lot numbers) in BE-Fashion.

Description

The solution is intended to expand the BC standard with convenience functions. All setups and postings of the standard are not adjusted.

In concrete terms, this means:

  • Using the item tracking codes on the item
  • Using the item tracking lines in the documents and in the journal
  • No “misuse” of the standard fields Serial No. and Lot No. in the journal

Overview of Requirements

  • Master Data
    • Master data table for identification numbers, incl. FN information (e.g. size range, size, and color)
    • Continued use of the identification number type on the item for simplified process control and filtering.
  • Document Functions
    • Extension of the scanning functions in the document headers, journal, and physical inventory entry to include scanning of the identification numbers
    • The entry aid does not fill in new fields, but creates the item tracking lines that are used in the standard for posting
  • Creation of New Identification Numbers
    • Controlled automatic creation of new identification numbers from purchase documents, e.g. automatic creation of identification numbers on goods receipt.
  • Prices
    • Prices per identification number are not supported
      • Pricing by item variant
      • Write-downs, sales valuation per item variant
      • If prices differ, several lines must be entered
  • Label Printing
    • Printing labels with identification numbers

Setup

Fashion Setup

  • Single identification number allowed
    • Checked when the Identification Number Type setting = Single Ident
    • Save serial no. info, save lot information
      • Automatically creates the default tables for serial and lot info
      • In principle, the check mark is not necessary, as the ID card is always created for Fashion.
      • Only if the check marks for the info tables are set in item tracking should the two fields be set, as the entries will then be created automatically.
  • Setup of the default tracking codes and number series for the use of identification numbers
  • Setting for physical inventory: the check mark for the query must be removed, otherwise the expected tracking lines for the identification numbers will not be created.

Item Tracking

  • Set up the item tracking code

  • If the info-required fields are checked, it may make sense to set the automatic creation fields from the Fashion setup, otherwise the serial and lot number card will have to be created manually.

Item

  • Identification Number Type
    • Populates item tracking and number series with the default values from the Fashion setup
  • Item Tracking Code
    • Recording of deviating tracking codes (e.g. single ident with lot tracking)
  • Number Series
    • Storage of the number series for serial and lot numbers

Ordering and Goods Receipt

  • Manual entry of identification numbers
    • Via Line → Item Tracking Lines
    • Manual entry of the identification numbers, or the BC standard’s automatic creation function from the number series stored on the item
    • When the Item Tracking page is closed, the standard creates reservation entries.
    • FN: Attached to the creation of the reservation entries, ID cards not yet created are set up via an event.
    • Note: if the lines are later deleted and recreated with new identification numbers, the ID cards already created are retained.
  • Automatic Capture
    • The “Create Identification Numbers” function automatically creates missing identification numbers for all lines based on the item master data and quantities.
    • The function can be started multiple times if quantities change or order lines are added.
    • The function creates reservation entries, and then automatically creates the ID cards via the INSERT event
  • Entry at Goods Receipt
    • The identification numbers can also be entered only at the goods receipt
    • In contrast to the order, the automatic function uses the quantities to receive from the goods receipt.

Scanning Functions

  • The codeunit for scan management has been adapted so that both EAN and identification numbers can be scanned
  • There is a function to identify the barcode and the corresponding item variant, which returns the source table (EAN, ID Card)
  • The function for finding and creating a line has been adapted to the item variant in each case.
    • The function for physical inventory entry has been completely redesigned; no negative lines are created anymore, but quantities are increased or reduced on cancellation.
  • If an identification number is scanned, the necessary reservation entry is additionally created
    • In the event of cancellation, this is reduced or deleted

Physical Inventory

Physical inventory journal:

The function for building the journal has been reverted to the standard for identification numbers. This means the fields for serial and lot numbers are not filled (for other purposes); instead, the expected quantity of the item variant for the storage location is shown in one line. The corresponding identification numbers must then be assigned to the receipt/issue quantities via the tracking lines.

Attention: the BC standard does not offer support in the journal to automatically derive the missing identification numbers for posting from expected and found identification numbers.

The standard procedure for the journal is:

  • Creating the physical inventory journal
  • Printing the inventory list incl. identification numbers
  • Carrying out the physical inventory on the printed report
  • Recording the identification numbers not found via the tracking lines

The physical inventory order offers a more convenient way to process identification numbers in the physical inventory.

Attention: when using identification numbers, the check mark for using the query must be disabled in the FN setup, otherwise no expected tracking lines will be created. The Calculate Lines function creates lines per storage location and item variant.

For identification numbers, expected tracking lines are additionally created. These are also available on the posted physical inventory order, which provides traceability of the physical inventory per identification number (since the item ledger entry itself does not contain any information about the identification numbers).

In the physical inventory entry, serial and lot numbers are entered per line by default. This means there are no tracking lines at this point. In addition, the scan field is also available for identification numbers. When the physical inventory order is completed, BC automatically calculates the variance from the expected and counted identification numbers and writes the appropriate reservation entries.

The line function can be used to open the physical inventory tracking overview for deviating serial and lot numbers for the completed physical inventory order.

Label Printing

In all label printing functions, an adjustment has been made for the identification numbers so that the data can be pulled from the appropriate source (reservation line, item ledger entry).
