GTIN Management via Item References

Manage, create, and delete GTINs (formerly EAN) for item variants and lots consistently via Business Central item references.

Purpose of the Setup

This page describes the management of GTINs (formerly EAN) in BE-Fashion via the item references of Microsoft Dynamics 365 Business Central.

The goal is a consistent, future-proof maintenance of barcodes for item variants and lots.

The former EAN table is no longer used. All existing and new GTINs are managed exclusively via the item references.

Prerequisites

  • BE-Fashion is installed (from version 26.4)
  • Items and, if applicable, item variants have been created
  • The user has permissions to maintain item master data

Setup Steps

Opening the Item References

  1. Open the search in Business Central.
  2. Enter GTIN.
  3. Open the Item Reference List page.

Creating a New GTIN Manually

  1. Select New.
  2. Enter the relevant fields (see table below).
  3. Save the record.

Manually adding GTINs is explicitly possible and intended.

Deleting a GTIN

  1. Select the desired GTIN in the item reference list.
  2. Select Delete.
  3. Confirm the deletion.

Deletion is permitted as long as the GTIN is not used in active processes.

Note: BE-Fashion automatically checks that a GTIN is assigned to only one item variant, since the GTIN is used to uniquely reference an item variant.

Initial Master Data

When updating to the current BE-Fashion version, existing GTIN data is taken over automatically. Fields no longer needed from the former EAN management are no longer available.

Best Practices

  • Maintain only one main GTIN per item variant.
  • Use start and end dates to control GTINs over time instead of deleting them immediately.
  • Clearly mark internal GTINs to avoid confusion.
  • Use lot GTINs exclusively for lot-relevant items.
  • Regularly check whether outdated GTINs need to be blocked or ended.
