Automated posting of incoming and outgoing payment flows.

The processes in payment management describe the system-relevant procedures for the automated posting of incoming and outgoing payment flows. The basis for controlling payment management is the “bank accounts” and the “payment methods”.

Payment methods

Payment methods can be bank, cash, or similar. A general ledger account or bank account can be stored on them, as well as a default payment type such as SEPA.

Banks

Banks are managed as a subledger whose postings are transferred automatically to the general ledger. The corresponding import and export processes are controlled via the settings on a bank account. Data communication (import/export) is mapped with the help of a banking program. This program imports the data for outgoing payment management (SEPA) and provides the bank statements (CAMT53) for further processing.

Bank statement posting

Bank statement posting usually processes and posts the CAMT53 formats of the external banking program. The bank statement contains all transactions relating to “incoming” and “outgoing” payment flows. The program recognizes the payments from the bank statement, reconciles them with invoices, orders, etc. that have already been posted, and thus removes the assignment effort from the user.

Meta process BIP - Bank import

Electronic bank information on incoming payments enters the ERP system. These records are imported, assigned automatically to open entries, and posted after review.

BIP-0010 Save bank statements

The bank statements are retrieved manually or automatically from the bank and stored in the folder maintained in the program.

BIP-0020 Import bank file

The bank statement is imported into the “Open payment import journal”. Interfaces have been set up for this. The imported bank statements are moved to the backup folder.

BIP-0030 Import bank statement lines

The selected bank statements are imported line by line into the extended payment receipt journal. This can then be displayed.

BIP-0040 Apply lines

The lines are preassigned automatically. At the same time, a corresponding proposal for application is created. The rules can be configured and extended individually. There is a comprehensive posting manual for the available options. The lines that are not assigned automatically must be applied manually. The program learns in the process.

BIP-0050 Post payments

The amounts are posted to the respective accounts and the open entries are applied.

Meta process PAM - Payment management

Payment proposals can be created for incoming and outgoing payment management. The prerequisite is the maintenance of bank data on vendors and customers. Multiple account-bank combinations can also be created and selected.

PAM-0010 Create payment proposal

A payment proposal is created for the relevant customer or vendor entries. The payment proposal checks all open entries and proposes them according to different selection criteria (due date, hold flag, payment method).

PAM-0020 Check/correct payment proposal

General error checking and correction are carried out on the basis of the error texts and warning messages.

PAM-0030 Edit payment proposals

After the proposal has been created, individual entries can be deleted or changed. Banks, bank accounts, remittance texts, etc. are adjusted where necessary. The status of the payment proposal is “open”.

PAM-0040 Create payment file

A payment file is created from the payment proposal. It contains the corresponding communication data for the banking program. The status of the payment proposal is “paid”.

PAM-0050 Send advices

With corresponding settings, the system asks after executing the payment whether the payment advices should be printed or sent.

PAM-0060 Post payment

The posting is generated first, which writes the data into journal lines that are then posted. The open entries are closed automatically during posting. The status of the payment proposal is “posted”.

PAM-0070 Close payment

When the bank has executed the payment, the feedback for completion of the process is provided via the bank statement. The transit accounts are balanced.

If required, only the print reports in the standard Microsoft Dynamics 365 Business Central system and from OPplus are used.
